Policies & Legal

Clear and transparent information about using Edunixa Management System.

1. Privacy Policy

Effective Date: January 2026 • Version 1.0

This Privacy Policy explains how EDUNIXA Management System collects, handles, stores, and protects institutional and personal information when schools, faculty, staff, students, and parents access the platform.

Account & Institutional Information

We collect necessary institutional details (such as school name, branch contact details, and administrator credentials) strictly to create and administer your school tenant account. Student and guardian records uploaded by the school remain the exclusive property of the respective educational institution.

Data Handling & Confidentiality

We do not sell, rent, monetize, or disclose student records, attendance logs, examination grades, or guardian contact details to any third-party advertisers. All collected data is processed solely to fulfill platform management operations.

Information Security

Institutional data is safeguarded using industry-standard encrypted connections (HTTPS/TLS), hashed password storage (Bcrypt), and isolated multi-tenant database scoping to prevent unauthorized cross-school access.

2. Terms of Service

Effective Date: January 2026 • Version 1.0

These Terms of Service govern your access to and usage of the EDUNIXA Management System software platform and related services.

Use of Edunixa Services

Edunixa grants educational institutions a non-exclusive, non-transferable subscription license to access the management portal according to their active capacity plan. Subscribed institutions are responsible for ensuring that all account users (admins, faculty, students, parents) adhere to these terms.

Institutional Responsibilities

Subscribing schools are solely responsible for verifying the accuracy of their academic records, student enrollments, fee challans, and staff payroll information. School administrators must maintain the confidentiality of administrative credentials and immediately report any suspected credential compromises.

Service Availability & Maintenance

Edunixa strives for high platform availability. Scheduled maintenance and critical security updates are conducted during off-peak hours with prior operational notification whenever feasible.

3. Payment, Refund & Cancellation

Effective Date: January 2026 • Version 1.0

This policy outlines the subscription billing, offline payment verification, approval workflow, and cancellation terms for institutional plans.

Subscription Payments & Proof of Deposit

Institutional subscription fees are billed in Pakistani Rupees (PKR) on a monthly or annual basis via direct bank transfer or verified institutional deposit. After completing the payment, the school administrator uploads proof of payment (bank deposit slip / transaction receipt) through the billing portal.

Verification & Subscription Activation

Selecting a plan or submitting payment proof does not automatically activate a subscription. The platform administrative team inspects and verifies the submitted bank deposit receipt. Upon successful verification, the subscription is activated, updating the school's active student and teacher capacity quotas.

Rejected Payment Proofs & Rectification

If a submitted payment proof is illegible, inaccurate, or unverifiable with bank records, it will be marked as rejected with specific remarks. The institution may re-upload a clear, valid receipt without losing account configurations.

Cancellations & Refunds

Institutions may cancel their subscription renewals at any time prior to the next billing cycle. Because subscriptions provide immediate server resource allocation, fees for activated billing periods are non-refundable once administrative verification is finalized.

4. Data Retention & Deletion

Effective Date: January 2026 • Version 1.0

This policy defines the retention timeline for active school records and the procedure for accidental deletion recovery.

Active Data Retention

All student enrollment rosters, examination records, class timetables, fee receipts, and staff salary logs are maintained securely for the duration of the institution's active subscription.

30-Day Accidental Deletion Safety Net

To protect schools against accidental operational errors, items deleted by school staff (such as student profiles, timetable slots, or fee items) are held in an institutional soft-deleted state for 30 days, during which authorized administrators can perform one-click batch restorations.

Permanent Deletion & Account Closure

Upon formal account closure or written request from the authorized school board, institutional data will be securely purged following the conclusion of any mandatory legal or tax compliance retention periods.

5. Security & Data Protection

Effective Date: January 2026 • Version 1.0

We implement comprehensive technical and organizational safeguards to protect institutional assets and user privacy.

Role-Based Access Control (RBAC)

Granular permission boundaries ensure that users only access functionality and data corresponding to their assigned role (School Admin, Principal, Accountant, Teacher, Student, Parent).

School Tenant Isolation

Every institution operates within a strictly partitioned tenant boundary. Automatic tenant scoping prevents any cross-tenant data leakage or inadvertent access by other schools.

Audit Logs & Activity Monitoring

Critical operational events, including login attempts, mark modifications, fee payments, and permission adjustments, are timestamped and logged for institutional accountability.

6. Acceptable Use Policy

Effective Date: January 2026 • Version 1.0

This policy sets forth the guidelines for lawful and ethical usage of EDUNIXA Management System across all user accounts.

Prohibited Activities

  • Attempting unauthorized access, penetration testing, or reverse engineering of the platform without explicit authorization.
  • Transmitting unlawful, abusive, defamatory, or fraudulent content through school announcements or notices.
  • Sharing individual administrative passwords or credentials with unauthorized third parties.
  • Uploading malicious scripts, automated scrapers, or code designed to disrupt platform performance.

Enforcement & Account Suspension

Violations of this Acceptable Use Policy may result in temporary credential locking, administrative review, or account termination to protect the overall integrity of the educational platform.
